Privacy policy
Last updated: February 2026.
This policy explains how Arima Leisure Limited collects and uses personal data, and what rights you have. We are the data controller for the personal data described here.
Who we are
Arima Leisure Limited, a private limited company registered in England and Wales under company number 03094386. Registered office: 16 Fairgreen, Barnet, EN4 0QS. You can contact us about data protection by email at [email protected] or by post at our office, 16 Fairgreen, Barnet, EN4 0QS.
What we collect
We collect very little. Specifically:
- Information you give us — your name, company, email address, telephone number and whatever you choose to tell us when you contact us about a site, a scheme or your services.
- Correspondence — the content of emails and a record of calls where we have made a note of them.
- Technical information — our web host records standard server log data, including IP address, browser type and the pages requested. This is generated automatically whenever anyone visits any website.
We do not operate an online account system, we do not take payments through this website, and we do not knowingly collect any special category data.
Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Responding to your enquiry and any subsequent correspondence | Legitimate interests — replying to someone who has contacted us |
| Negotiating, entering into and performing a contract with you | Performance of a contract, or steps taken at your request before entering one |
| Keeping records of projects, appointments and correspondence | Legitimate interests — running the business and defending legal claims |
| Meeting our accounting, tax and statutory obligations | Legal obligation |
| Keeping consultant and supplier details on file | Legitimate interests — appointing suitable professional teams |
| Optional website analytics | Consent, given through the cookie banner and withdrawable at any time |
Who we share it with
We do not sell personal data and we do not share it for anyone else's marketing.
Where a project requires it, we share relevant details with the professional team appointed to that project — architects, engineers, cost consultants, planning consultants, solicitors and contractors. We also use service providers who process data on our behalf, including our web host, email provider and accountants, all under contract. We will disclose data where the law requires it.
Where it is held
Our data is held within the United Kingdom or the European Economic Area. If any provider we use processes data outside those areas, we rely on the safeguards permitted by UK data protection law, such as the International Data Transfer Agreement or UK Addendum.
How long we keep it
Enquiries that do not lead to a project are kept for up to two years. Project records and correspondence are kept for twelve years after completion, reflecting the limitation period for contracts executed as a deed in construction. Accounting records are kept for at least six years as required by the Companies Act 2006. Server logs are kept for a short period by our host and then overwritten.
Your rights
Under the UK GDPR you have the right to be informed, to request a copy of the personal data we hold about you, to have inaccurate data corrected, and in certain circumstances to request erasure, to restrict or object to processing, and to data portability. Where we rely on consent you may withdraw it at any time, which does not affect processing carried out beforehand.
To exercise any of these, email [email protected]. We will respond within one month. There is no charge unless a request is manifestly unfounded or excessive.
Complaints
If you are unhappy with how we have handled your personal data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes
We may update this policy from time to time. The date at the top shows when it was last revised.
